Despatch Clerk

Despatch Clerks manage the scheduling, production, tracking and documentation involved in moving freight, commodities or people form one place to another. They organise the shipment and collection of goods for import and export. Despatch Clerks must have strong decision-making skills and be able to work in a fast-paced work environment.

Duties and tasks

  • Advise and notify customers of customs rates, tariff categorizations and methods for transporting goods
  • Authorise collection of goods and shipments, verifying customs clearance requirements
  • Document and verify the inventory from incoming and exported items against consignment records; process payments for customers
  • Manage intake of goods received, document, ensure for quality and quantity and arrange for internal distribution of goods
  • Oversee operations and notify personnel about problems or updates in work; serve as contact for personnel and clients
  • Prepare work orders and organise the release of exported goods including transportation, ensuring quality and planning for tariffs and regulations
  • Schedule and allocate work crews, delivery vehicles and work equipment for individual jobs

Working conditions

Despatch Clerks typically work Monday to Fridays but may need to be available if orders are scheduled to come in on evenings or weekends. They may spend part of their time in offices preparing and documenting orders, however most of their work typically takes place in warehouse, storage or transport areas.
